Records-storage management services are now being offered by LifeStorage Centers, LLC, including HIPPA compliant “vault” storage rooms, document & data destruction, barcode tracking for boxes & files, rush pick-up/delivery services, file indexing services and an advanced web search tool for accessing stored files.
The company, a provider of home, business and office storage solutions with 18 facilities throughout Chicagoland, offers customers the option to choose between full and self-service offerings. The full-service option provides customers with confidential file storage, rush pick-up and delivery to an archive center, bar-code tracking, document scanning services, as well as a secure viewing area for them to review their files in person.
“It was a natural fit for us to adopt record storage into our business plan,” said Matt Clark, Vice President of Operations for LifeStorage. “We are expanding our storage options and services to better accommodate our clients’ needs and lead the charge in changing how records storage management is utilized.”
The self-service option is HIPAA compliant and allows for easy document retrieval as needed with individual vault sizes and flexible leasing arrangements. The self-service 'vault' solution supplies an industry niche that allows customers a new alternative for document storage with the ability to access and store documents without the middleman. Each LifeStorage facility provides file boxes and specialized shelving, along with industry-leading climate-controlled facilities and advanced surveillance technology.
“In our analysis between private ‘vault’ storage versus full-service record storage solutions, we realized that the ‘vault’ concept wasn’t being offered,” said Clark. “As a Chicagoland self storage company, we have become known in the industry to provide a unique storage experience,” said Clark. “Records storage has always been something our clients have used our storage facilities for, but now we offer an easy full-service option for those who wish to have their documents kept safe, organized, and managed without any hassle. We have the ability to provide a more secure service for file storage that will make it easy for everyone to locate their records quickly while helping our clients comply with new retention laws in place.”
Once a box is filed and stored, a client can manage his files remotely using the LifeStorage Records Web Locator Tool, which allows him to search through his own files online. The service allows customers to electronically store, track and access their documents. Files can even be scanned or faxed whenever they are needed. LifeStorage is also offering a record-disposal program, with shredding and destruction services based on personalized corporate-retention schedules.
